YOUR PRE-SAIL PLAYBOOK

Cabin booked. Now let’s get you ready to sail.

A simple timeline of the four things to do between now and embarkation day. We’ll email reminders for each milestone, but here’s the full picture.

1
Right now

Block your calendar & confirm travel.

Hold April 5–9, 2027 on your work calendar plus April 4 (embarkation eve) and April 10 (return travel). Lock in your flights now — we strongly recommend arriving April 4 to avoid missing the ship. Group rates at the partner hotels are here.

2
30 days out

Verify your travel documents.

Pull out your passport (or birth certificate + photo ID for U.S. citizens on closed-loop cruises). Confirm requirements on Royal Caribbean’s official page. International attendees should double-check visa or ESTA status now — not the week of.

3
14 days out

Complete Royal Caribbean check-in.

Royal Caribbean will email you to complete online check-in — photo upload, payment confirmation, and time-of-arrival window for the port. Skipping this delays your embarkation. Add any dietary needs or accessibility requests at the same time.

4
Day before

Pack smart, fly in, rest up.

See the cruise prep checklist for what to pack and what to leave at home (irons and surge protectors are prohibited). Aim to land in Orlando by mid-afternoon April 4 so a flight delay doesn’t turn into a missed sailing.
